POLICY TERMS & CONDITIONS
This policy applies to all reservations and guests staying at Aetheria Hotel, Southwest Sumba.
1. Reservations and Payment
Guarantee: All reservations must be guaranteed by a valid credit card or an advance deposit payment.
Deposit: A deposit of 50% of the total stay cost will be charged upon reservation confirmation. The remaining payment must be settled 14 days prior to the arrival date.
Pricing: Room rates are exclusive and include complimentary exclusive airport transfers to/from Tambolaka Airport (TMC) and specified premium in-room amenities.
2. Cancellation and Changes
Given our remote and exclusive location, our cancellation policy is strictly enforced:
Cancellation 30 days or more prior to Arrival: Full deposit will be refunded (minus bank administration fees).
Cancellation 15 to 29 days prior to Arrival: The deposit (50% of the total) will be forfeited.
Cancellation 14 days or less prior to Arrival (including No-Show or Early Departure): 100% of the accommodation fee will be charged (no refund).
3. Check-in and Check-out
Check-in Time: 15:00 (3:00 PM) WITA (Central Indonesian Time).
Check-out Time: 12:00 (12:00 PM) WITA.
Late Check-out Request: Subject to availability and may incur additional charges (50% of the room rate until 6:00 PM, 100% thereafter).
4. Hotel Regulations
Room Capacity: Each suite has a maximum capacity of 2 (two) adults. Additional guests (including children) are only permitted in specific suites and must be confirmed during booking, with applicable extra charges.
Pets: To maintain the pristine tranquility and cleanliness of the environment, the hotel does not allow pets.
Smoking Policy: Smoking is strictly prohibited inside all suite areas, including bathrooms. Smoking is only permitted on the private terrace/balcony area or designated outdoor areas. Violations will incur a cleaning fine of IDR 5,000,000.
Damages: Guests are responsible for any damage or loss of hotel property caused during their stay.
II. PRIVACY POLICY
At Aetheria Hotel, your privacy and tranquility are our highest priority, in line with our "The Art of Disappearance" philosophy.
1. Information We Collect
We collect personal data necessary for reservations, including:
Full name, email address, phone number.
Passport/ID details (required for check-in by Indonesian law).
Credit card information (for payment guarantee purposes only).
Special stay preferences (e.g., food allergies, pillow preferences).
2. Purpose of Data Use
Your personal data is used solely for:
Processing and guaranteeing your reservation.
Ensuring smooth and legally compliant check-in and check-out.
Personalizing your stay experience (e.g., customizing room amenities).
Managing your exclusive airport transfer services.
3. Data Protection and Security
We are committed to protecting your personal information from unauthorized access or disclosure.
All payment data is encrypted and processed through secure, certified payment systems (PCI-DSS compliant).
Physical identification data (Passport/ID) collected during check-in will only be stored for the period required by local authorities.
4. Disclosure to Third Parties
We will not sell, distribute, or lease your personal information to third parties, except if:
Required by law, court order, or legitimate governmental authority in Indonesia.
Necessary to process services you have agreed to (e.g., sharing name details for external airport transfer services).
5. In-Hotel Privacy
Photography and Media: While we encourage guests to share their experience, we ask all guests to respect the privacy of other guests. Commercial photography/videography requires written permission from the hotel management.
Guest Service: Our staff is trained to ensure minimum and non-invasive interaction, guaranteeing your total privacy during your stay in the suite.
Wi-Fi Data: Your Wi-Fi usage is logged only for diagnostic and cybersecurity purposes.
